Our company created and maintains what is known as the “Clean Partner Line,” a system that allows customers, suppliers and other individuals to report compliance violations. Its purpose is to provide an avenue by which any individual can report to our company incidents whereby an employee of our group concerned with procurement or related transactions has violated or is suspected of violating laws, regulations, Toshiba Group guidelines, Toshiba Group procurement policies, contracts and/or our corporate code of conduct. Upon receipt of any such report, our company will immediately take steps to rectify the situation. |
| |
If a group employee involved with procurement or related transactions has violated or is suspected of violating our group’s compliance policy, the whistleblower is requested to inform us to that effect via the “Clean Partner Line.” We ask that all such reports be restricted to violations of our group compliance policy; we do not entertain or do we welcome attempts to slander or otherwise scandalize our employees. |
| |
All allegations of compliance violations will be subject to a fact-finding investigation, the results of which will be reported to the whistleblower. (Please note that we may not provide the whistleblower with feedback when the matter being investigated is not related to compliance.) |
| |
Unless a whistleblower grants his/her consent to the contrary, the person’s personal information will not be shared with any person or entity outside of the “Clean Partner Line” secretariat (Purchasing Management Group). Unless the whistleblower grants his/her consent to the contrary, we will not use the person’s personal information for purposes other than contacting them for during the inquiry or providing them with the results of our investigation. |
| |
The contents of every whistleblower report will be handled with the strictest possible discretion. No information will be disclosed to individuals or entities outside of the “Clean Partner Line” secretariat unless such disclosure is deemed essential to the effective completion of the investigation. During the fact-finding and investigation process, we will take steps to ensure that the whistleblower’s identity is known only to members of the “Clean Partner Line” secretariat. |
| |
Neither the whistleblower nor their employer will face discrimination as the result of the report. |
